A TPIN is Zambia's most fundamental tax document — you cannot open a bank account, register a vehicle, file a tax return, or bid for a government contract without one. This guide covers everything: what a TPIN is, who needs one, how to register in minutes online using ZRA's Fast Track system, what documents each entity type needs, how to find a TPIN you've already registered, and what to do if yours is lost, inactive, or wrong.

What Is a TPIN and Why Do You Need One?

A TPIN (Taxpayer Identification Number) is a unique 10-digit computer-generated number issued by the Zambia Revenue Authority (ZRA) to every registered taxpayer in Zambia — individuals, companies, partnerships, NGOs, churches, and diplomatic missions alike.

Think of it as Zambia's economic identity number. Just as your National Registration Card (NRC) identifies you as a citizen, your TPIN identifies you as a taxpayer and economic participant. It links every financial transaction you make — every tax return, every bank account, every business registration — to a single verified identity in ZRA's national database.

The TPIN was introduced as part of Zambia's tax modernisation programme and is now the single gateway to participation in Zambia's formal economy. Without one, you are effectively locked out of banking, government services, and formal business.

Who Must Register for a TPIN in Zambia?

TPIN registration is mandatory for a wide range of individuals and entities. Per the ZRA FAQ and the Income Tax Act, a TPIN is issued to:

  • 👤
    Individuals in employment
Any employed person in Zambia, including employees whose PAYE is handled by their employer. Even if you pay zero income tax, you need a TPIN to open a bank account or file returns.
  • 🏪
    Self-employed and sole traders
Anyone running their own business, freelancing, farming commercially, or operating as a consultant. Required before applying for any business licence or registering for Turnover Tax, VAT, or Income Tax.
  • 🏢
    Limited companies and corporations
All companies incorporated under the Companies Act and registered with PACRA. Post-2020 companies get a TPIN automatically on PACRA registration (see section below).
  • 🤝
    Partnerships and joint ventures
Business partnerships require their own TPIN separate from the individual partners' TPINs.
  • 🙏
    NGOs, churches, clubs, and associations
Non-Government Organisations, missionary bodies, labour unions, clubs, and societies registered with the Registrar of Societies all require a TPIN.
  • 🌍
    Non-residents conducting business in Zambia
Foreign individuals and companies with taxable activities in Zambia, including expats, diplomatic missions, and foreign businesses with Zambian operations.
  • 🏦
    All bank account holders
A Bank of Zambia directive requires all bank account holders in Zambia to have a TPIN. You cannot open or maintain a bank account without one.
ℹ️
TPIN registration does not mean you immediately owe tax. Registering for a TPIN does not trigger any automatic tax liability. It simply places you on ZRA's register. You only become liable for specific taxes (PAYE, VAT, income tax, etc.) after you separately register for those tax types or cross their respective thresholds.

Everything You Use Your TPIN For

Once issued, your TPIN becomes the reference number for virtually every formal financial and regulatory transaction in Zambia. The table below covers every major use:

Use CaseMandatory?Details
Opening a bank accountMandatoryBank of Zambia directive. No TPIN, no account — applies to all commercial banks and mobile money operators.
Filing any ZRA tax returnMandatoryPAYE, VAT, Income Tax, Turnover Tax — all require a TPIN as the primary account identifier.
Registering a motor vehicleMandatoryTPIN is a prerequisite for vehicle registration and transfer at Road Transport and Safety Agency (RTSA).
Obtaining a Tax Clearance Certificate (TCC)MandatoryA TCC — needed for tenders, bank loans, and licences — is issued against your TPIN on the ZRA portal.
Bidding for government tendersMandatoryAll public procurement in Zambia requires a valid TPIN and current TCC as part of the bid package.
Registering for VAT, PAYE, or Income TaxMandatoryYou cannot register for any tax type with ZRA without a TPIN — it is the prerequisite for all secondary registrations.
Accessing ZRA e-Services portalMandatoryThe portal login at portal.zra.org.zm requires your TPIN as the username.
Applying for import/export permitsRequiredZRA Customs Services requires TPIN for all import and export declarations.
Making VAT refund claimsMandatoryVAT refund applications filed on the ZRA portal are processed against your TPIN account.
Registering with NAPSA as an employerMandatoryNAPSA employer registration requires a TPIN and ZRA Certificate of Registration.

Check If You Already Have a TPIN (Before Registering)

Many Zambians and businesses already have a TPIN without realising it — especially if they've ever opened a bank account, registered a vehicle, or had an employer who registered them with ZRA. Before starting a new registration, always check first. Duplicate registrations cause complications.

Your search results will show your TPIN number, your registered name, your registration date, and your status — Active or Inactive. If your status shows Inactive, you need to visit a ZRA office with your NRC and supporting documents to reactivate your TPIN before you can use ZRA e-Services.

💡
Can't find your TPIN by NRC? Try searching by your full name as it appears on your NRC. Minor spelling differences between your NRC and the ZRA record can cause the NRC search to return no results. If the name search also fails, you are genuinely not registered — proceed to register below.

Did PACRA Automatically Give You a TPIN?

This is one of the most useful things to know about TPIN registration in Zambia — and almost nobody writes about it clearly.

If your company or business name was registered with PACRA after 2020, ZRA automatically generates a TPIN the moment your PACRA registration is finalised. You do not need to register separately.

Here is what happens:

1

You complete your PACRA registration

Either online at pacra.org.zm or in person at a PACRA office. Your company receives its Certificate of Incorporation or Business Name Certificate.

2

ZRA automatically creates your TPIN

PACRA and ZRA share registration data. As soon as PACRA processes your registration, ZRA generates a TPIN linked to your new entity.

Check your email for ZRA login credentials

ZRA sends your TPIN and portal login credentials to the email address used during PACRA registration. Check your spam folder — this email often lands there. Log into portal.zra.org.zm to complete your ZRA profile and confirm your TPIN.

⚠️
Registered with PACRA before 2020? The automatic TPIN system only applies to registrations from 2020 onwards. If your business predates 2020, you must register your TPIN manually by visiting the nearest ZRA office — the back-office process is required. Bring your Certificate of Incorporation and director NRCs.

Fast Track TPIN Registration for Individuals

For individual taxpayers — employed Zambians, sole traders, self-employed professionals, and bank account holders — ZRA offers a simplified Fast Track TPIN Registration process that takes around 10–15 minutes online.

This is the quickest route to getting your TPIN and is available 24/7 at portal.zra.org.zm.

1

Go to portal.zra.org.zm

Visit the official ZRA e-Services portal. Do not use third-party sites — always use the official portal to protect your personal data.

2

Select "Get a TPIN" → "Fast Track TPIN Registration"

Look for the Get a TPIN link under the Registrations section. For individuals, specifically select Fast Track TPIN Registration — this is ZRA's simplified individual registration path and avoids the longer business registration form.

3

Enter the security CAPTCHA

Type or select the security code shown on screen. This prevents automated submissions. Click Proceed to continue.

4

Select "Individual" as your taxpayer type

The portal will ask whether you are an Individual or a Non-Individual (business entity). Select Individual for the Fast Track process.

5

Fill in your personal details

Enter your full name exactly as it appears on your NRC (including any middle names), your NRC number, date of birth, residential address, active mobile number, and email address. Accuracy is critical — errors will delay processing and may require a ZRA office visit to correct.

6

Upload your NRC and proof of address

Scan or photograph both sides of your NRC clearly. Also upload a proof of address (utility bill, lease agreement, or bank statement in your name). Files should be in PDF, JPG, or PNG format. Keep individual file sizes reasonable — very large files sometimes fail to upload.

Submit and receive your TPIN

Review every field, then submit. ZRA will send your TPIN number and portal login credentials (username and password) to your email and phone. Processing is usually immediate or within 24 hours for complete applications. Your TPIN is permanent — keep it safe.

Now that you have your TPIN — register for tax

TPIN Registration for Businesses and Organisations

Businesses, partnerships, NGOs, and other non-individual entities use a full TPIN registration form rather than the Fast Track process. This captures additional information about the entity's legal structure, business activities, directors, and estimated turnover.

The process for non-individuals is the same portal — portal.zra.org.zm — but you select Non-Individual when prompted for taxpayer type. You will then be asked to specify your entity type:

    Certificate of Incorporation
Issued by PACRA. Must be valid and show current company name and registration number.

Manual Registration at a ZRA Office

If you experience difficulties with the online portal — connectivity issues, CAPTCHA failures, document upload errors, or account problems — you can register manually at any ZRA office in Zambia. Bring physical copies (originals plus photocopies) of all documents listed for your entity type above.

ZRA offices where you can register for a TPIN in person:

📍 Lusaka (HQ)
📍 Ndola
📍 Kitwe
📍 Livingstone
📍 Chipata
📍 Kabwe
📍 Kasama
📍 Mongu
📍 Solwezi
📍 Mansa

For manual registration, complete ZRA Form TPIN-1 (Application for TPIN and Tax Registration). This form can be downloaded from zra.org.zm or collected at any ZRA office. Complete it in block capital letters and attach copies of all required documents for your entity type.

After Registration — What Comes Next

Once you have your TPIN, it is the key to everything else in Zambia's tax and financial system. Here is the natural next-steps roadmap depending on your situation:

A

Open a business bank account

Take your TPIN certificate (printed or shown digitally), Certificate of Incorporation, and directors' NRCs to your bank of choice. Most Zambian banks require your TPIN as the first document in the account-opening checklist.

B

Register for the right tax types

Log into the ZRA portal with your TPIN and register for the taxes that apply to your situation: VAT (if turnover exceeds K800k/year), PAYE (if you employ staff), Income Tax (always), or Turnover Tax (small businesses under K5M). See our VAT Registration Guide for the next step.

C

Apply for a Tax Clearance Certificate (TCC)

A TCC proves you are current on all ZRA obligations. It is required for government tenders, many bank loans, and business licences. Apply for it on the ZRA portal once your tax registrations are active and all returns are filed.

D

Register with NAPSA and NHIMA as an employer

If you have employees, you must register as an employer with NAPSA (pension) and NHIMA (health insurance) — both require your TPIN. See our NAPSA Calculator to understand your monthly contribution obligations.

Common Problems and How to Fix Them

"NRC already registered" — but I didn't receive my TPIN
This is the most common issue reported. It happens when a previous incomplete registration was submitted, or when a bank or employer registered you without your knowledge. First: use the Taxpayer Search at portal.zra.org.zm to find your TPIN using your NRC number. If found: use the "Forgot Password" function to reset your ZRA portal access using the email or phone linked to your account. If not found: call ZRA toll-free on 4111 or visit any ZRA office with your NRC — they can look up your registration using their back-office system and reissue your credentials.
My TPIN shows "Inactive" — what does this mean?
An Inactive TPIN typically occurs when registration was started but not completed, when the taxpayer has not filed returns for an extended period, or when ZRA has flagged the account during a data clean-up exercise. You cannot use an inactive TPIN for any ZRA transaction. Solution: visit any ZRA Taxpayer Services office with your NRC (and Certificate of Incorporation for companies), explain the situation, and request TPIN reactivation. Bring any supporting documents that verify your identity and address. Reactivation is usually processed the same day.
My name or details are wrong on the ZRA system — how do I correct them?
Amendment of registration details is done using ZRA Form TPIN-1 in amendment mode — tick the amendment boxes at the top of the form and complete only the sections you are changing. Attach supporting documents (e.g., a corrected NRC, deed poll for a name change, or new address proof). Submit the form at any ZRA office. Alternatively, some amendments can be done via the ZRA e-Services portal under "Taxpayer Profile Update." Do not let incorrect details persist — name mismatches between your NRC and ZRA records can block Tax Clearance Certificate applications.
I registered with PACRA after 2020 but never received my TPIN email
This is common. The auto-generated TPIN email frequently ends up in spam or junk folders, especially from corporate email clients. Step 1: check your spam folder thoroughly using search terms like "ZRA" and "TPIN". Step 2: search the ZRA Taxpayer portal using your company's name or your NRC number — your TPIN will appear if it was generated. Step 3: if you find your TPIN but can't access the portal, use "Forgot Password" using the email on your PACRA registration. Step 4: if all else fails, visit a ZRA office with your PACRA certificate and director NRCs — they can locate and reissue your credentials within the same visit.
Someone is asking me to pay for TPIN registration — is this legitimate?
No. TPIN registration is completely free. ZRA does not charge any fee for TPIN registration — online or in person. Any individual or agent asking for payment to register your TPIN, obtain a TPIN certificate, or access your ZRA account is not acting officially and may be engaging in fraud. Register directly at portal.zra.org.zm or visit a ZRA office in person. If in doubt, call ZRA's toll-free helpline on 4111.

Frequently Asked Questions

How long does TPIN registration take in Zambia?
Online registration using the Fast Track process is usually processed within minutes to 24 hours for individuals with complete documents. You receive your TPIN and ZRA portal credentials by email and SMS. Business registrations may take slightly longer depending on document verification. Manual in-person registration at a ZRA office is usually processed the same day. Companies registered with PACRA post-2020 receive their TPIN automatically, typically within the same day or within 24 hours of PACRA processing.
Can I register for a TPIN if I am not a Zambian citizen?
Yes. Non-citizens — including expats working in Zambia, foreigners with bank accounts, and non-resident businesses with Zambian operations — can and must register for a TPIN. Instead of an NRC, foreign individuals provide their passport number. The process is otherwise identical to citizen registration. Non-resident companies follow the Non-Individual process with their home country Certificate of Incorporation and a power of attorney for their Zambian representative.
Do I need a different TPIN for each business I own?
It depends on the legal structure. As an individual, you have one personal TPIN regardless of how many businesses you own as a sole trader — because legally you and your sole proprietorship are the same person. However, each separately incorporated company (registered with PACRA as a limited company or business name) gets its own TPIN — because it is a separate legal entity. A director of three different limited companies would have four TPINs: one personal and one for each company.
What is my TPIN used for when I apply for a bank loan in Zambia?
Zambian banks use your TPIN to verify your tax compliance status with ZRA before processing loan applications. They may request a Tax Clearance Certificate (TCC) — which is issued by ZRA against your TPIN — to confirm that you have no outstanding tax debts. A valid TCC signals to lenders that you are a compliant taxpayer, which strengthens your loan application. Banks are also required to report all accounts and transactions to ZRA linked to the account holder's TPIN, as part of Zambia's financial intelligence and anti-money-laundering framework.
